refrigeration tech I spoke with in the back half of last year had converted fourteen R-22 systems to R-410A in a single quarter. The conversions were across three regional grocery chains. Eighteen months after the work, on a callback for an unrelated issue, he was still pulling the original paperwork out of a clipboard at the back of the service van.
The clipboard had originally been a kitchen-door maintenance schedule. By the time we spoke it had become the technical specification for half a million dollars of grocery-store refrigeration. Inside the clipboard: the original install dates, the line-set lengths, the thermal expansion valve manufacturer, the refrigerant charge weights, and the date and time of each service visit. Across the clipboard's spine: duct tape.
The clipboard at the back of the service van had stopped being the place the truth lives. The truth had moved to whoever happened to remember it.
Why clipboard service records fail
he service van goes to four different sites in a day. The clipboard is fine until the clipboard gets left at the third site. The clipboard gets left until someone from a different crew drives three hours to retrieve it. Or the clipboard gets wet. Or the clipboard gets reshelved into a different van during last-minute staffing changes. Every lost clipboard is a small piece of institutional knowledge that evaporates. The next tech on the site stands in front of a condensing unit with no line lengths on paper and has to put a manifold on it, cycle the compressor, run the subcooling calculation, and derive what the original tech saw.
A tech who is paid by the hour can spend forty minutes on something that the clipboard would have answered in four. Across a fourteen-system quarter, that is easily two days of billable time spent re-deriving information that has been proven out.
What owners and managers see differently
wners and facilities managers see service records differently from techs. An owner wants to know three things: who worked on the system last, what they did, and what still needs to be done. A clipboard is rarely any of those three things for an owner. The clipboard is what the carrying tech thinks needs to be there. The clipboard is missing half the callbacks because the clipboard is on another van. The clipboard is missing the most recent thermal expansion valve change-out because that tech put the new spec on a sticky note and the sticky note fell off the clipboard.
A trades-side care record answers all three of those questions at once. Owner: read the care page on your phone in front of the unit. Tech: pull the same care page on your phone, add the new repair, walk away. Nobody needs the clipboard. The clipboard is now optional.
On R-410A specifically
-410A has been the dominant replacement for R-22 in commercial refrigeration since the EPA-mandated phase-out. The refrigerant itself is not difficult to work with, but the conversion is not a drop-in. The line set has to be flushed. The compressor oil changes from mineral to POE. The metering device changes from a fixed orifice to a thermal expansion valve. The service tech needs to know which brand lineset was installed at the original conversion in order to know whether the new flare fittings are compatible with the new compressor. None of that is hard. All of it is impossible without the original spec.
A care record that lists the original conversion date, the line-set manufacturer, the compressor model, the thermal expansion valve model, and the most recent two service interventions removes the friction on the next service call. Every tech that comes after walks into a clean handoff. The conversion is recognisably a Makerstead-tracked system.
What does the tech have to do
ot much. When the system is first commissioned — whether the system is original equipment, a conversion, or a service call — the tech opens the Makerstead app, picks the unit from the dashboard, and adds the spec lines: line set length, charge weight, valve manufacturer, compressor model, refrigerant. Each line is a typed entry. The output of the entry is a public care page that prints as a 2×2-inch QR label and that the owner can hand to the next tech. The next tech scans the QR and the spec is in front of them.
The tech's life is straightforward. The tech's next service call starts with the answer to the questions the tech would otherwise have to derive.
What does the owner get
he owner gets a service that does not start from zero. The owner pays for the parts and the labour on the service call, not for the prior tech to re-derive the system. The owner can hand the QR to a new tech during a warranty call and the warranty tech walks in cold with the original line lengths. The owner does not have to be the system's memory anymore.
The clipboard, if the tech wants one, is decorative. The owner does not need it.
